For those facilities utilizing the ongoing daycare schedules or the quick daycare check-in, you may have noticed the option to start an open order. Here is what that means:
When you create an open daycare order, you are simply opening up a tab for the client. Each attendance to daycare is continuously added to the order until either you or the client choose to close the tab/order.
There are 2 ways to start an open order.
1. From Quick Daycare Checkin
- From your Daycare Dashboard, click “Quick Daycare Check-In”
- Search for the pet in the search bar and select the pet
- Select the Rate, whether to apply passes or not and adjust the kennel if required
- Check the box beside “Create new open daycare order”
- Add your initials (if required) and check in
- When you check out the pet, you can choose to keep the order open and continue adding future days or close the order and send the invoice or accept payment.
If you choose to keep the order open, you will notice the next time you check in the pet that you can add the date to the already existing order.
If you do not check the box to “Add to open daycare order #D….” then a new order will be created separately from the open order.
2. From An Expected Daycare Dog
For those facilities that use the ongoing daycare schedules, you will have dogs listed under the Expected Daycare heading on your main dashboard. Simply check in the pet and follow steps 3 and on from the instructions above.
How Can I Find and Close Open Orders
Open orders will include an “Open” Icon in the reservation summary as well as beside the invoices in the client’s booking history.
You can view all your open orders by navigating to your Reports > Financial > Open Reservations.
When you or the client choose to close the open order, all you need to do is open the reservation summary, accept payment, and then select “Close Open Order” and close the order with or without an email invoice. Alternatively, you can select “Close Open Order” and email the invoice to the client to pay at their earliest convenience.
For those facilities that use the customer portal, your customers will be able to see their open orders in their account under the Booking History. Additionally, if you have signed up with one of our integrated payment processors, your clients will be able to pay right from their accounts.
Notes:
- “Open Orders” are only compatible with Ongoing Daycares or Quick Daycare check-ins
- The Open Reservation Report can only be accessed by those staff whose roles allow access to the Financial Reports.
