How to transition to Smart Medication:
Now that you have decided to switch to smart medications, here are some tips to change your current medication instructions to the new ones!
Please note, each facility has custom questions and structures for their medication instructions. As a result, there is no reliably accurate way to transfer your current structure into the new feature automatically. To address this, you must make a few decisions on how to transition over. Here are some tips and options to choose from:
Once you have set up your smart medication structure, you are now ready to disable the old structure and replace it with the new one. Here is an article on how to set up your Smart Medication if you have yet to complete this. Each facility is unique in how they approach their medications, so here are some options to choose from:
Option 1:
Mark your old medication instructions “Admin Only” and no longer recall the instructions for the next booking. Activate your Smart Medication Instructions:
This will keep all your existing reservations’ past medication answers, and you can review them as needed. However, when your customers send their next reservation request, they will be prompted to add their medication needs into the new structure for you.
Then, manually transfer the medication instructions for the existing reservations to the new setup. You can choose to do this in advance or transfer over when you check the pet in and confirm the instructions.
Once you transfer the medication instructions, you can delete the past answers for the reservation (from the old structure). This will stop you from seeing the same instructions in 2 reports (Medication AND Smart Medication). If you leave the old instructions, just be aware that instructions can be read twice, once in the old report, and once in the new one.
New reservation requests will only arrive to you with the new structure.
Option 2:
Mark your old medications as “admin only” but no longer recall the instructions for the next booking and activate your new smart medications. Then, you and staff will need to review both the “Medication” and “Smart Medication” reports to make sure old medication instructions are not missed, and neither will the new ones.
Your customers will be unable to see their past medication instructions and will need to contact you to make any changes. When you edit the instructions, it’s important to note whether the client only used the old medication instructions or the new smart meds. If they use the old structure only, add the edits to those instructions. Do not transition to the new smart meds for that order. If you do, you could end up with two sets of medication instructions, risking a double dose or medication instruction inconsistencies. Alternatively, if you update the instructions and transition to the new smart meds, delete the old ones to avoid confusion.
Once all already existing reservations are passed, the old medication instructions can be deleted and continue using the smart medication option. However, this will remove the instructions from past orders. If you wish to keep this history, then simply leave the old questions as admin only without remembering the response for the following reservations. Alternatively, you can mark the questions as inactive. The responses will not be saved in the booking details; however, they will still show in the medication report.
